[en] Bulk update of Recurring rates (RRT)

[en] Recurring rates are periodically reviewed and updated, typically at year-end or during scheduled revisions. This functionality provides a structured way to manage these updates through an export and import process, reducing manual effort and improving accuracy.

[en] Instead of adjusting rates individually in the system, users can export existing data, update it externally, and import the revised rates back in a controlled and validated manner.

[en] Exporting Recurring rates (RRT)

[en] Recurring rates can be exported based on selected criteria, allowing users to focus only on the data that is relevant for a given update cycle. Filters include attributes such as Product, Type, Effective date, Recurring period, Pricing method, Currency, Rate aspect, Replacement relationships, Default settings, Customer, and Status. The file can be created via REPORT/117792 – Recurring rates for price update, for example using the Send report by email function.

[en] The exported file contains all required identifiers and attributes needed for re-import. This ensures that the same file can be used as a foundation for making updates without requiring additional data preparation.

[en] Updating rates externally

[en] Once exported, the file can be modified in a spreadsheet tool. Users can adjust rate values and other relevant fields while keeping the required identifiers intact. The exported structure is designed to align with the import format, making it suitable for direct reuse after updates.

[en] Importing updated rates

[en] Updated rates are imported back into the system through an input job RRTUPLOAD. Each record in the file represents a rate to be created or updated. After submission, the system processes the file and applies all valid changes.

[en] Imported rates become available in the system immediately after successful processing.

[en] Validation and error handling

[en] During import, the system validates the data to ensure consistency and correctness. This includes checks such as verifying that the currency is valid for rates associated with a customer, as well as ensuring that required fields and references are correctly defined.

[en] If errors are detected, they are recorded in an error log with clear details. Invalid records are not applied, allowing users to correct the issues and reprocess the file without affecting valid entries.

Uwaga

[en] NOTE! The way updated rates affect existing rental contract items depends on the configuration of those items. If a contract item is set to AUTO, the new rate is applied automatically. If it is set to MANUAL, the update requires manual action before it takes effect.

[en] All export and import activities are logged to provide full traceability. These logs support auditing, troubleshooting, and verification of changes over time.
